How to Brief a Video Production Team (So the Shoot Doesn't Waste Your Budget)

Most Australian service businesses that commission a video shoot don't end up with unusable footage because the camera operator was bad. They end up with footage nobody can use because nobody wrote down what the video actually had to achieve. A thin brief is the single biggest reason video budgets get wasted: the crew turns up, shoots what looks good on the day, and three weeks later someone is asking for a reshoot because none of it matches the website, the ad campaign, or the brand.

Why a Thin Brief Costs More Than the Shoot Itself

A half-day shoot with a small crew in Melbourne or Sydney can run into the thousands once location, talent and editing are added up. Reshooting it because the footage doesn't fit a 9:16 Instagram Reel, or because the background colours clash with the brand, roughly doubles that cost — and it's entirely avoidable. The brief is where that risk gets removed, before anyone picks up a camera.

What a Proper Production Brief Actually Contains

A brief that protects the budget covers more than "we need a video for Instagram." At minimum, it should set out:

  • The specific objective — brand awareness, lead generation, a product launch or internal training. A different objective changes the entire shoot.

  • The audience and where they'll see it. A video built for a LinkedIn feed looks and sounds different to one built for a TikTok ad.

  • The one key message the video has to land, written as a single sentence everyone on set can repeat back.

  • Every deliverable format needed up front — vertical, square and horizontal cuts, with and without captions — so it's shot once, not re-edited from the wrong aspect ratio.

  • Brand guidelines: logo placement, colour palette, tone of voice, and any phrases or imagery to avoid.

  • The must-have shots, named specifically, so nobody discovers a gap once they're in the edit suite.

  • A realistic timeline and budget, agreed before the crew is booked, not negotiated after the invoice arrives.

This is exactly why XRIS Media doesn't operate as a separate video vendor bolted onto someone else's marketing plan. Strategy, branding, film and photography sit inside one team here, which means the brief for a shoot is written by the same people who set the brand guidelines and run the campaign it's feeding — not handed between three different suppliers who've never spoken to each other, each with their own idea of what the brand looks like.

The Real Cost of Juggling Separate Vendors

Plenty of Australian businesses run their marketing, their branding and their video production as three unrelated relationships: an agency for ads, a freelance videographer for the odd shoot, and whoever did the logo years ago. Qantas's safety videos are the well-known example of what happens when production and brand strategy are treated as one discipline instead of three — every shot, cast choice and brand cue in those videos ties back to a single creative direction, which is exactly why people share them instead of skipping them. Most service businesses will never need a celebrity-studded safety video, but the same principle scales down: one point of contact and one creative direction keeps footage usable across the website, paid ads and socials, instead of three different-looking videos that each cost separately to fix.

A brief is a strategy document, not a shot list. Write down what the video has to do before anyone reaches for a camera, and the shoot pays for itself. Skip it, and the reshoot usually costs more than the original job would have.

If you're planning a shoot and don't have a brief that actually protects your budget, XRIS Media's strategy and production team can build one with you before a single frame is shot. Get in touch at xrismedia.com/contact.
